Privacy Policy
Effective September 2026
BetLedger is tax accounting software for gambling. This policy explains what information we collect through the bet-ledger.com website ("Site") and the BetLedger application ("App"), how we use it, and the choices you have. It is written to be read.
The short version. We collect what we need to run the service you asked for. We never sell your data. We never share your individual records with anyone unless you tell us to or the law requires it. We never use your data to advertise to you or to market gambling to you. You can export or delete everything, any time.
1. What we collect
You give us directly
- Account: email address, name, and sign-in method (email, Google).
- Early-access signup: email, first name, and — optionally — where you play and your state, used only to organize onboarding.
- Profile and filing details you enter: names, addresses, and other details you attach to accounts or activity so your records are complete. This can include names of people who were present, if you add them.
- Manual entries: wagers, casino and poker play, tickets, cash in and cash out, and edits to synced data.
- Documents you upload: receipts, withdrawal and deposit records, win/loss statements, W-2Gs, and similar. Some of these — W-2Gs in particular — contain tax identification numbers. We store them so your records are complete; we do not extract or use those numbers for any other purpose, and you may redact them before upload.
- Payment details go to Stripe, our payment processor. We receive confirmation of your plan and payment status; we never see or store your card number.
- Support and correspondence you send us.
We collect through linked accounts
When you link a sportsbook or prediction-market account, our data partner (SharpSports) retrieves your wagering history and account activity on your behalf and delivers it to us. Your login credentials for those platforms are handled by SharpSports and are not stored by BetLedger. Links are read-only; we cannot place wagers or move money.
We collect automatically
- Device, browser, pages viewed, and approximate location from your IP address, to run and secure the Site and App.
- Basic usage analytics (Google Analytics) to understand how the Site is used.
- Error and performance logs.
2. How we use it
| Purpose | What it involves |
|---|---|
| Provide the service | Sync, store, classify, and reconcile your activity; keep your documents; produce summaries, comparisons, and reports you request |
| AI-assisted features | Compare reporting options and answer questions about your own records. Your data is sent to our AI providers only to fulfill your request and is not used to train their models |
| Communicate | Account, billing, and security notices; product updates and the early-access list (you can unsubscribe from anything non-essential) |
| Improve and secure | Fix bugs, measure what works, detect abuse |
| Comply | Respond to lawful requests; keep the records we are legally required to keep |
We do not use your information to sell to you, to serve ads, to build profiles for anyone else, or to promote gambling products or services.
3. Who we share it with
Service providers who process data for us, under contracts that limit their use to our instructions. They fall into these categories: cloud hosting and database storage, account linking and data sync (SharpSports), payment processing (Stripe), transactional and marketing email, sign-in and analytics, and AI model providers used only to fulfill requests you make. Each sees only what its function requires.
Your tax professional, when you choose to export or share reports with them.
Legal process — if required by law, subpoena, or court order, or to protect our rights or users' safety.
A successor — if Bet Ledger LLC is acquired or merges, your data goes with the service under this same policy; we will tell you first.
We never sell personal information and never share it with sportsbooks, data brokers, or advertisers.
4. How we protect it
- Encrypted in transit (TLS) and at rest.
- Row-level access controls: your records are isolated from every other user at the database level.
- Uploaded documents live in private storage reachable only by your authenticated account.
- We do not store sportsbook credentials. We do not store card numbers.
- Our infrastructure providers (Supabase, Vercel) maintain SOC 2 Type II reports.
No system is perfectly secure. If a breach affects your data we will notify you as the law requires.
5. How long we keep it
For as long as your account is active. When you delete your account, we delete your account, linked-account data, manual entries, documents, reports, and profile — everything — and revoke our access at SharpSports. We keep only what the law requires: billing records held by Stripe, and minimal security logs that age out on a fixed schedule. Deleted data is also removed from backups on a fixed schedule.
6. Your rights
You can, at any time and without a fee:
- Access and export your data (the App provides a full export).
- Correct anything inaccurate.
- Delete your account and all data (Settings, or email us).
- Unsubscribe from non-essential email.
- Ask what we hold and how it is used.
Residents of California and other states with privacy laws have these rights by statute; we honor them for everyone. We will not treat you differently for exercising them. Email us and we will respond within 30 days.
7. Cookies
The Site uses essential cookies for sign-in and session security, and analytics cookies to measure usage. No advertising cookies, no cross-site tracking, no retargeting.
8. Age
BetLedger is for adults. You must be at least 18 and of legal age to wager in your jurisdiction to use the Site or App. We do not knowingly collect information from anyone under 18; tell us and we will delete it.
9. Changes
We will post updates here and change the effective date. For material changes we will email account holders first.
